PROGRAM + EVENTS COORDINATOR

The Program + Events Coordinator works to provide general program and event production support for Aspen Film’s festivals, film series, special presentations, one-off screenings, drive-ins, and education programming activities. This position serves as a liaison with venues, vendors, distributors, community partners, volunteers, etc. and is supervised by the Program + Marketing Manager.

 

Responsibilities Include:

  • Coordination, in conjunction with Program + Marketing Manager, of all in-person AF film screenings, series presentations, drive-ins and other programming activities. To include: oversight of film media movement to venues, creation + management of RSVPs, ticketing process, check-in, merchandise table and other on-site duties as needed
  • Liaise with venue projectionists to ensure programs are running smoothly, all films are displayed in the correct exhibition format with appropriate sound level, plus ensure any pre show material is properly presented 
  • Attend and provide support, leading up to and throughout, each of AF’s signature festivals
  • Assist with creating, maintaining + executing festival timelines, show-flow + data tracking
  • Create and maintain film + event folders in AF’s Google Drive to house film marketing assets, reports, and other relevant documents
  • Assist with execution of essential event collateral including printing + distribution of: program guides, posters, flyers, postcards, and concierge outreach materials 
  • Coordinate venues + vendors, as needed, for opening/closing receptions, happy hours, dinners + other events
  • Oversee AF’s image archive + assist Marketing team with the recording of event photos + videos
  • Collect attendance totals for screenings, festivals and education programs; maintaining records in a database + compiling programming numbers for grants
  • Assist with creation and implementation of post festival surveys

 

Our ideal candidate will have:

  • Stable housing in the Roaring Fork Valley. No relocation or housing stipend is available
  • 2-5 years experience in event coordination, film festival work, or similar
  • Availability to work multiple evening events per month in Aspen 
  • Flexibility to work additional hours during Film Festivals 3 times per year
  • Knowledge of non-profit work preferred
  • Ability to be a self-starter and anticipate the on-going needs of the organization
  • Comfort handling confidential information
  • Multi-tasking and time-management skills, with the ability to prioritize tasks
  • Proven track record organizing systems and overseeing multiple projects on deadline
  • Excellent verbal and written communication skills + exceptional attention to detail

Compensation: This is a year-round, full-time position, on-site in our Aspen Office. Extended hours during festivals. Working fully remotely is not an option for this role. Salary is between $38-45K annually, plus benefits, depending on experience.
